are looking for Receptionist cum Secretary with 2 years experience, Computer
literate with good background in office correspondence, documentation and
professional in Telephone communication. Can write and speak English is a
must.
Job Description Of Receptionist/Office Secretary
-The basic office job of a receptionist is to greet the general public, visitors, customers and other parties that arrive at your business in person.
-The most important job that the receptionist performs is to serve as the "gate keeper" to the company. This includes screening calls, discerning the nature and purpose of a visit, contacting the appropriate employee when a visitor arrives and calling emergency services (police, fire and ambulance) when required.
-Answers telephone and gives general information in response to inquiries; delivers oral and written messages to unit members.
-Sorts and distributes incoming mail.
-Files correspondence, memoranda, reports and other materials alphabetically, numerically or by other prescribed method.
-Maintains routine clerical records, logs and data and compiles routine reports.
-Operates office equipment such as copiers, word processors, data terminals, microfilm equipment or other equipment found in work unit.
-Word processes/types routine letters, labels, reports and similar items from rough draft or clear copy.
-Processes documents or forms according to instructions.
-organize and coordinate meetings, conferences, travel arrangements
-take, type and distribute minutes of meetings
-implement and maintain office systems
-maintain schedules and calendars
-arrange and confirm appointments
-organize internal and external events
-handle incoming mail and other material
-set up and maintain filing systems
-set up work procedures
-collate information
-maintain databases
-communicate verbally and in writing to answer inquiries and provide information
-liaison with internal and external contacts
