About this Position:
The Web Services and Raiser’s Edge Database Coordinator position is responsible for the technical aspects of the website (that is, the BBNC platform of the website) and the technical aspects of the Raiser’s Edge database, as well as the technical aspects of the integration of the two and of other databases. Thus, this position works closely with the Computer Center staff and also with the Communications and Marketing staff.
Some of the responsibilities of this position
-are similar to the technical aspects that are often associated with a “webmaster” and
- are similar to the technical aspects that are often associated with a “database coordinator.”
The content and style of writing of the website is more of the responsibility of another staff colleague, the Web Marketing and Communications Coordinator. The data entry for the database is more the responsibility of other staff colleagues in the Development Office. The Web Services and Raiser’s Edge Database Coordinator works with these staff and assists them in their work.
The Web Services and Raiser’s Edge Coordinator is responsible for
-knowing about the technical components of the BBNC website functions and of the Raiser’s Edge database,
providing technical service, support, and training to the Website Content Authors, -Communications Office staff, and others in the Advancement Office,
ensuring that the Raiser’s Edge data and the BBNC Website technical links are accurate and functioning, and
-liaising with Blackbaud and the Computer Center on all technical aspects of the website and the Rasier’s Edge database.
The Bethlehem University website is built on the Blackbaud NetCommunity (BBNC) platform and the Bethlehem University alumni, donor and grant management database is Blackbaud’s Raiser’s Edge. Each department of the University has a Website Content Author for whom the Coordinator provides technical training, support, and assistance. The Coordinator also provides technical training, support, and assistance to the Advancement Office staff and the Finance and Computer Center staff who use the Raiser’s Edge database, which is integrated with the BBNC Website for a number of functions.
The Coordinator assists the Advancement Office staff in designing and implementing new electronic communications vehicles. The Coordinator designs and implements web procedures and tools to be used by the Website Content Authors and the Advancement Office staff as the University enhances its local, regional, and global presence on the web in English, Arabic, and German. The Coordinator also works closely with the Computer Center staff to ensure that integration between the Raiser’s Edge, the BBNC Website, and the other databases of the University are accurate and functional.
Primary Responsibilities:
*BBNC Website
-Configure and manage the technical aspects of the primary templates and style-sheets for the website in coordination with the Communications and other Advancement Office staff as well as the Website Committee, a most critical core component to ensuring a clean, professional, and consistent website presence.
- Work with Blackbaud and the Computer Center staff to address and solve any website technical issues that develop for Web Content Authors, Advancement Office staff, Computer Center staff and/or other University offices (for example, using on-line forms and integrating into RE, ensuring that the online donation function works properly, establishing on-line registration and links with RE for conferences and events, identifying alternative options for users to achieve what is needed from the website when there appear to be BBNC limitations).
-Ensure that the technical aspects of the website meet the needs of department/faculty (for example, “vanity URLs” that would be helpful are established, etc) and ensure uniformity throughout the entire “back end” of the website, such as folder organization, file naming systems, etc
-Process all sign-up requests and profile updates (new users, new faculty and staff, guests, alumni, donors, etc) from the Website into the Raiser’s Edge – and merge the records in RE when existing users try to sign up for a new account via BBNC to avoid duplicate records (note that this requires a thorough understanding of RE data as well as implications of making changes in RE).
-Configure all user roles for content authors, faculty, staff, and administrators, etc.
-Troubleshoot website problems for all users (faculty/staff, content authors, donors, etc.), respond to technical assistance requested by faculty and staff through the online web ticketing system.
-Provide training and assistance to content authors, as needed, and create training materials and guides for content authors and other website users (e.g., assist Content Authors and others in creating forms, on-line event registration, and surveys, etc)
-Assist Advancement Office staff and others in formatting and sending electronic newsletters through BBNC, designing queries and settings using constituents in the Raiser’s Edge database (e.g., BU Happenings, Alumni Newsletters, On-Line Surveys for Graduates and Donors, etc).
*Raiser’s Edge
-Work with the Computer Center and Advancement Office staff to accurately import and export data to and from RE, performing global uploads and data changes while maintaining data integrity (for example, linking alumni data from RE and the Registration database, uploading pilgrim group names and contact information, etc).
-Coordinate with BlackBaud on de-duping process when needed to ensure the integrity of the data
-Configure queries in RE as needed by Institutional Research and Advancement Office staff, and lead training sessions for staff for queries and reports and other technical aspects of RE.
-Manage all mailing lists, those maintained outside of RE and BBNC (such as Constant Contact), as well as various mailing lists (BUN, BU Happenings, etc.) in RE – and assist Advancement Office staff in their need for using mailing lists (postal as well as electronic).
Secondary Responsibilities:
-Serve on the Web Committee.
-Maintain URL registrations for the University and ensure that no copyright violations are broken with uploaded content on the website, such as written materials, videos, photos, etc.
-Communicate any network outages and updates (RE or BBNC) to faculty and staff as relevant.
-Develop close working relationship through regular meetings with the Computer Center, Web Content Authors, Web Committee, and Advancement Office staff.
-Conduct trainings for RE and BBNC with new users at least each semester and otherwise as appropriate and requested.
-Maintain up-to-date RE/BBNC process and procedure documents and publish for easy access by Web Content Authors, Advancement Office and Computer Center staff.
-Serve as a key liaison for upcoming integrated data management project.
Special Working Conditions:
Availability via mobile phone, Skype, and email beyond regular work hours is required due to the multiple-hour time difference between Bethlehem, Palestine and Washington, DC. Flexibility in working hours is required so that meetings between both locations can happen in a timely manner.
For instance, the Coordinator must be able to work until 5 pm at least three days per week and occasionally later as needed and requested.
Qualifications: The successful candidate will possess the following qualifications and attributes:
-Bachelor Degree in any relevant field
-Minimum of five years of experience managing organizational websites, databases, e-communications, designing for web, and complex project management is required;
-Demonstrated success in developing plans and executing web strategies. Track record as a creative and strategic thinker is desirable;
Experience with online marketing (engaging, motivating, and driving readers to action) is desirable;
-Must be able to effectively lead, communicate and collaborate with diverse constituencies with varying levels of technical knowledge; must possess effective analytical, interpersonal, organizational, team-building, and team-leading skills;
-Strong oral and written communication skills in the Arabic and English languages are required;
-Significant successful experience in higher education or multi-disciplinary non-profit organizations, and capacity to maintain poise and work effectively under pressure;
-The ability to work successfully on multiple time-sensitive projects across time zone differences and with persons of different cultures; and the ability to quickly adapt to and exercise leadership in different cultures and with different business practices is desirable;
9-Experience with website content management systems is required; experience with Blackbaud NetCommunity and Raiser’s Edge highly desired; familiarity with Adobe Creative Suite and understanding of HTML and CSS XML, Feeds, is desired.
