COORDINATION
Coordination with all the development/humanitarian technical Coordinators in the field and technical team in HQ, Management Coordinator in HQ and Financial Responsible in the HQ of Solidaridad Internacional. Coordination with the local partners in the region.
BACKGROUND
Solidaridad Internacional is a Spanish non-governmental organization established in Spain in 1986. Solidaridad Internacional is a non confessional, progressive and independent NGO present in more than 20 countries in Latin America, Middle East and Africa supporting the most vulnerable people through the implementation of humanitarian and development projects, education for development, awareness and promotion and spreading of Fair Trade. The work of the organization worldwide is structured in four strategic sectors: Democracy and peace building, women’s empowerment and equality, food security, and adaptation and mitigation of climate change. A Human Rights Based Approach is applied to all these sectors and gender, environment and strengthening of social actors are mainstreamed in all interventions.
Solidaridad Internacional needs to recruit a Local Office Administrator for the regional office in Jerusalem in order to strengthen reform the administration and logistics procedures in the office and to be in charge of the administrative supervision of all the interventions.
MAIN TASKS
Finance/administration
-Perform administration, management and accounting of the office
-Develop annual and multi-annual budgets for the office
-Coordinate annual audits of the office
-Review and sign the orders for the purchase of goods and services as authorized budget and internal procedures
-Recovery of taxes (VAT)
-Manage the services supply of the institution: telephone, Internet and email, accounting and administrative systems
-Comply with national legislation on taxation and general accounting plan
-Supervise the work of administrative assistant and on-the-job training on requested topics
Project cycle management of Solidaridad International’s interventions
-Support the Project Coordinators in economic planning and formulation of the development interventions in collaboration with the members of SI according to the rules of different donors
-Coordinate and provide support and monitoring of working teams of the partners in all matters relating to administrative and financial management of the development interventions, ensuring the application of the donor rules.
-Facilitate workshops with local partners on funding regulations and donor administrative regulations, mainly AECID/Spanish cooperation rules.
-To monitor quarterly economic administrative activities in accordance with the formats and processes and develop and consolidate SI reports economic monitoring of interventions in collaboration with the Coordinators and in accordance with the SI criteria and requirements and donors’ formats.
-To monitor the disbursement of financial and control transfers to the partners
-Participate in evaluations of interventions SI.
-Plan and coordinate responses to audits, supported by the 's Coordinators and headquarters.
Human Resources
-Review of employment contracts, verifying that they are appropriate to the standards of the institution and the labor and legal provisions in force.
-Review of monthly payroll, salaries and withholding certificates, share certificates, social security and taxes estimates and settlements of social benefits.
-Prepare Transfer sheets for salaries to the accounts of all staff.
Security and Code of Conduct
-Apply and adhere to the internal regulations in SI’s office, including safety regulations.
-Respect SI’s code of conduct for the office
Others
-Promote a team-work organizational culture, open and participatory within SI office and with the partners of SI in the region.
-Make sure that SI’s Equality Policy and conciliation of work and personal life policies are applied in the Administration department.
REQUESTED KNOWLEDGE AND EXPERIENCE
-An advanced degree Business Administration
-Skills of working on PC and using other related equipments, advance use of Microsoft Excel.
-Minimum of 3 years of experience of Administration in international NGOs or UN agencies, preferable with Spanish NGOs and donors.
-Fluency in English, Arabic and Hebrew.
-Spanish language is an asset.
-Strong interpersonal skills and ability to work in teams
-Ability to work independently
-Confidentiality and discretion
WORK CONTRACT AND CONDITIONS
Solidaridad Internacional is a non lucrative organization that depends on external funding to implement the activities in the region. For this reason, the contract to be signed will be related to the objectives and results of the 4-year program funded by AECID in the region. . The duration of the contract will be 4 months with the possibility of extension. There will be a trial period of 2 months.
The salary will be based on SI’s standards and candidates experience and knowledge between 1200 USD to 1600 USD/monthly
